• Office and Community Hub Coordinator

    The Office & Community Hub Coordinator is responsible for enhancing the employee and guest experience at The Arc’s Easton Regional office. The Office & Community Hub Coordinator will complete all tasks with a high level of accuracy, professionalism, and customer service. The Office & Community Hub Coordinator will also support administrative support tasks while covering the front desk. This position must meet the qualifications of a Direct Support Professional and complete all trainings.   

    Essential Functions
    • Greet guests in a friendly and sincere manner; Answer questions and provide directions to meetings and/or activity locations.
    • Monitor visitor access, maintain security awareness at all times and follow all guest policies and procedures.
    • Coordinate daily opening/closing of assigned Community Hub; Ensure the Community Hub is clean, safe, and inviting and that all Community Hub standard operating procedures are followed.
    • With the Assistant Director of Programs, ensure independent activities are available in the Community Hub.
    • Provide basic information and referral, admission, and family navigation information to visitors to the Easton Regional Office.
    • Maintain and stock the kitchenette and other common areas in a neat and orderly manner; restock at a minimum, the beginning and end of the shift, empty and run the dishwasher when needed, clean out refrigerator weekly, and other assigned tasks
    • Ensure all meeting rooms are clean, organized, and ready for use; Walk meeting rooms and common areas throughout each shift to ensure rooms are in their original condition, if not and the room is not scheduled for a meeting/event put the room back in the original state.
    • Communicate facility and Community Hub needs and report any issues to the appropriate manager or Director of Operations.
    • Maintain the supply room and work with the HQ Office Manager to stock supplies.
    • Support the Operations Division, Director of Engagement, and Assistant Director of Programs with assigned administrative tasks/projects.
    Other Functions
    • Assist with moving boxes, furniture and other items across the building.
    • Assist with taking out trash and recycling, when needed.
    • When needed, supports covering incoming phone calls; routes calls appropriately and provides outstanding phone customer service and support.
    • Support People & Culture with employee events on the Eastern Shore.
    • Sweep outside walkways, when needed.
    Perform other duties as assigned. 
    • HS diploma or equivalent with past work experience as a Receptionist, Front Office Representative, or similar role
    • Excellent written and verbal communication skills with a strong customer service attitude
    • Competency in Microsoft applications including Word, Excel, and Outlook; Proficiency in Microsoft Office Suite
    • Must have experience with office equipment (scanners, copiers, etc.)
    • Demonstrate a professional attitude and appearance
    Must be organized and be resourceful/proactive when issues arise
